How to activate and customize payment reminders for a single event

You can activate and customize the reminder function for a single event.

Maybe it is just the one event you want to send out payment reminders for. Maybe you want to send out fewer payment reminders or with longer notice or maybe you do not want to send out payment reminders at all for one specific event. Whatever the reason, you can customize the reminder settings for a single event if it needs to be different from the one set up generally for all events.

Below you will find a guide on how to adjust the payment reminder settings for a single event.

  • You will find the payment reminder settings for a single event on the status page of the event.  To go to the status page click on the event title or the green status icon in the list of events.

  • Find the section "Payment reminders" in the middle below "Deletion of data":
  • Click "Event reminder setting" to adjust the payment reminders for this event. Notice that you can see the current setting at the top of the box.
  • You can choose between "Follow account defaults", "Deactivated" and "Automatic".

    "Follow account defaults" means that the settings are the same as you have chosen under Finances ->Payment reminders.

    "Deactivated" means that payment reminders will not be sent for this event, which could make sense if the setting is activated for all events, and you for some reason don't want to sent payment reminders for this specific event. 

    "Automatic" allows you to customize the reminder settings for the specific event. This is also what you should choose if you have generally disabled the reminder feature but would like to send payment reminders for this specific event.
  • Once you have selected "Automatic" you must select how many reminders the system must send for each unpaid invoice, as well as the number of days between each payment reminder.
  • Note:
    We have chosen that the first reminder can only be sent after at least 5 days.

    If it is less than 5 days, some could receive an unintentionel reminder, which we would not want. The reason is, that it takes a few days from the payment has been made, until the money has gone through the system and been registrered in EasySignup.

  • Click "Review and setup templates" to see the payment reminders. Here you can also change the text in the various payment reminders.
  • You now have the following options:



    1. Click here to change the text in the reminder. Then make the changes and click on the button again that has now changed to "Update template". 
    2. Here you can switch between the different reminders - both the English and Danish versions.

      NOTE: If you change the text, you must do so in both the English and Danish versions, if they are to be the same. It is not enough just to change one of them. 
    3. Click here to send a test to yourself. A pop-up window will appear where you enter the e-mail to which the test e-mail is to be sent. 

      NOTE: The invoice is not attached to the test. So you can not see it when you send a test to yourself.

  • When you are satisfied with the reminders, click "Save Settings". Now you have set up EasySignup to automatically send a payment reminder to unpaid invoices for a specific event.

View upcoming and already sent payment reminders for the event

  • On the event status page you can quickly get an overview of the payment reminders. If you want to see details you can click to get an overview of the upcoming reminders and to view the reminder archive:

  • In these overviews you can see details about the reminders, see a history for reminders on the individual registrations and give extra time for payment or stop sending out payment reminders.  This is explained in section "2. Future payment reminders" in this guide.
